THE FOGGY GOGGLES OF PROCESS DISPARITY

PROBLEM

As a result of having 5 different departments and lack of comprehensive/consistent training in the legacy software, many workflows and data points were not necessarily used as originally intended. Therefore, meaningful analysis was very difficult because certain data points could mean different things according to which department it was applied to.

SOLUTION

Unify processes and hierarchical structure across all departments. Create new, unique data points when necessary to be able to do analytic reporting with a specific focus when desired. Groomed, amalgamated and translated old data points to migrate into new Prism structure.

COMPLEX NEEDS BORE COMPLEX SOLUTIONS

PROBLEM

With over 35 unique Job Types and associated deliverables, new micro-processes, workarounds, and tools were regularly built and implemented to address a certain team’s needs. In the process, new features often ended up having unintended consequences and potentially breaking a workflow for a different team.

SOLUTION

Establish feature/enhancement request protocol to be reviewed by Design and Engineering personnel. Regular meetings were set to discuss any potential implications in other areas of the application, and vetted as it pertained to tracking and analytic reporting.

RECOGNITION OVER RECALL

PROBLEM

Without an established design system and thoughtful visual implementation, new employees had significant difficulty learning and remembering where key information was located on a given page, what certain buttons/icons did, where to find relevant data to a particular piece of land and it’s associated documentation, and the precise steps for correct execution of a given project.

SOLUTION

We leveraged the Vuetify (Vue.js) component library, chose a simple and clear color palette, and built a centralized repository of iconography to be used across all customized applications for continuity and recognizability.

(NO MORE) MISSED CONNECTIONS

PROBLEM

One of the keys to any high-functioning business is great and consistent communication. So it goes in software. The existing disconnected software solutions meant potentially outdated payment status, multiple separate records for the same client, and disparate locations of past surveys on the same piece of land, to name a few. This resulted in a lack of vertical insight and awareness when sending a new proposal or trying to respond to a customer inquiry for a particular project.

SOLUTION

Leverage existing and developed API’s so that information accessed from any direction/location was live and up to date (Prism, Quickbooks Online, Zoho CRM & Zoho Analytics, custom Scheduler, and custom Proposal Tool)
